How many letters are there in the alphabet?

How many days are there in a month?

What I like to do every December is go through all of my customer files and clean them up, and make sure that I haven’t left anything to be handled heading into the New Year.

Monday is December 1st and I have developed this simple strategy that I call the Alphabet Strategy to break this project into smaller chunks and get it done.  Here’s how it works:

On Dec 1, I work on my customer files that start with an “A” and I go through each one looking for papers that I can throw away and I make a small one or two line comment about the customer in my ACT database about my plans for the new year.  I also go through my Outlook email files and clean up all the “A” customers there….

On Dec 2, I work on the “B” customers.

On Dec 3, I work on the “C” customers.

And I do this every day until I hit Dec 26th and finish off the “Z” customers.  (Actually I usually do the X, Y and Z customers all on the 23rd and I am done for the year at that point.

And yes, I do this on Saturdays and Sundays too… If I want a day off, I do the extra days on the day before I want to take off.  Some of the letters are pretty sparse anyway and it is easier to get ahead… 

Then on the last four days for the year, I have another strategy that helps me prepare for the new year which I’ll talk about in a week or two…

This Alphabet Strategy can be used for many other things as well, just think about what you need to “chunk” into smaller pieces and assign yourself one chunk a day… and then do it.

    This is a great strategy that can be applied to so many things. I don’t have customer files, but I’m thinking if I can clean up every thing in my house that starts with “a” today…. The only problem is that “closet” starts with “c” so on that day I may have to apply for a week long extension! Great idea and great post.

    Lisa, For a project like you describe, I would just make a list:
    Dec 1: bathroom porcelain and sinks
    Dec 2: entry hall
    Dec 3: kitchen drawers
    Dec 4: kitchen cabinets
    Dec 5: master bath cabinets…
    Dec 6: hall closet
    Dec 7…

    Trying to impose alphabet on this is probably more trouble than it is worth… but the idea of chunking is a good one.

    I also know that some people swear by http://www.flylady.com/ for housecleaning…

    Very constructive example. I usually do smth similar. Sometimes it’s difficult to keep to the plan as usually time is not mine.

    I spent part of yesterday “cleaning out and cleaning up” my library in my office at home. Hundreds of books. I had a place to start…start sorting my books by general subject matter around my websites.

    It took on a life of it’s own and now it’s much cleaner and less cluttered…and I got rid of a lot of things that I had been holding on to and no longer need. It felt good.

    Doing the physical cleaning also cleaned out my head!

    THis is a great strategy for December, which is always a weird month, business-wise, at least in the industries I sell into. I usually use the last week, between Christmas and New Year’s, which is normally a “dead week” for business, planning and plotting for the upcoming year.

    This file clean up, which in my case is way overdue, is a good way to clean things up before my traditional planing session.

    This is a great idea Rob, I usually try and keep as much of my paper work in digital form as possiable. I would have used this information to clean up the laptop this year but had a bit of a virus issue…a day and a halflatter I whiped out everything on the computer and am starting fresh…Good thing I backed up everything a few weeks ago, I don’t think I lost anything important
